Phone Replacement Program


The University of Florida is undergoing a campus wide initiative to replace obsolete Cisco phones.

The Cisco phone models listed below will no longer be supported on UF’s network after Dec. 31, 2026 and must be replaced or removed.

  • 3905
  • 6901
  • 79XX Series (7906 - 7975)
  • 8831
  • 8945, 8961
  • 9951, 9971

Single Phone Orders

At this time, UFIT has paused single phone orders and can only accept hardphone orders of five or more phones. Single quantity phone orders may resume after Dec. 31, 2026.

Phone Replacement Options

UFIT supports a wide range of telephony endpoints, including multiple-line devices, key expansion-modules, conference units and softphones.

  1. Webex Softphone (Free)
    • The Webex Softphone client can be installed on desktop or mobile devices at no cost. This software-based phone works on the devices you already have.

  2. New Cisco 98XX Desk Phone (Purchase)

    • Physical phones my take up to 90 days to arrive from the vendor

Replacement Process

To begin the Webex and telephone bulk ordering process:

  1. Complete one Telephone Bulk Template spreadsheet per Chartfield string purchase
  2. Submit the completed spreadsheet via a Communications Support ticket

Removal of Obsolete Phones

Campus IT support is responsible for retrieving their unit’s phones and disposing of them appropriately. They must follow these guidelines:

  • Departments are responsible for removal of EoS phones from the network.
    • End-of-Support (EoS) phones are obsolete and pose a security risk to the university.
  • EoS phones should be sent to UF surplus for recycling or disposal; they should not be swapped, donated or resold.
  • When a device is disposed of, units should submit a ticket to the UFIT Telecommunications team in order to remove the device’s number from the department’s account.
